PROCEEDINGS
The Meeting began with Mr. Karthik welcoming the parents for the program. A copy of "Worksheet on Training Self-Care" was circulated to every parent. Mr. Karthik explained the procedure of filling in the worksheet and its possible effectiveness in training self-care for children with special needs. All the parents were requested to take multiple copies of the worksheet and fill it every month. This will help them to compare their child's progress with previous months.
Mrs. Padmavathy, Special Educator delivered a lecture on 'TASK ANALYSIS'. Task Analysis is a method by which self-care tasks (or any tasks) are broken down into simple, achievable steps and then children are trained on individual steps rather than the whole task. Children gradually learn the entire task by mastering these small steps at their own pace. The goal is to make the child independent in self care. The worksheet is a good adjunct to ensure that the training is proceeding in the right direction.
Feedbacks were received from parents who had given them earlier.
Mr. Karthik then explained the policies and upcoming programmes in the Centre following a snack break. They are as follows:
1. A Notebook is kept in the centre to record the child's performance after every session. However this has not been regular. All the parents were requested to take the notebooks back with them after every session as this would automatically make the therapist enter the details after every session.
2. Standardized Assessments will be conducted at the beginning and once in a year. Duration of assessment and fees will be synchronised with their elected session duration. Such assessments will be charged as per the number of sessions taken. Reports will be given for the standardized assessments. It has to be noted some of these assessments will be recognized worldwide.
3. Ensuring good quality of service by frequent in-service training for staff, case discussions and internal auditing.
4. Client Review once in 6 months will be conducted during the child's session time itself to abreast the parents with the child's performance and review goals. A 'Progress Report' will be given.
5. Group Assessments will be conducted for all new children coming to the clinic. The group will consist of Physiotherapist, Occupational Therapist, Special Educator, and a Speech Therapist.
6. Children who are receiving part of the services outside Shrishti are requested to get the 'GOAL FORM' filled by the concerned professionals. All the professionals will fill the goal set for the child in the same paper to ensure that these goals are relevant to one another. E.g. For Toilet Training, the Physiotherapist will focus on walking to the toilet, sit-to-stand etc, Occupational therapist will focus on hand function to open the door latch or smell sensitivity, Special Educator will teach the child to understand toileting, cleanliness and privacy whereas the Speech therapist will focus on indicating/expressing toileting needs.
7. Frequent Parent Training programmes will be conducted once in three months, preferably on saturdays. A list of topics and the dates will be displayed at a later date.
8. Entry in the Attendance Card
a. Parents are requested to ensure expiry date is mentioned when the new slot of 5 session begins.
b. Green line is drawn to indicate parents have paid the amount for a given number of sessions.
c. Obtain receipt within a week.
d. When a session is cancelled by Shrishti, ensure that the revised expiry date is mentioned.
e. 'On Time' or 'Late' is mentioned in the 'Time' column.
9. Revision of fee structure. The fees is revised as per the enclosed 'Tariff Details'. Handwriting fees to be raised to Rs.125 per session. Fees for less than 5 sessions can be paid but without any concession and for delayed payment concession will not be given. All sessions are prepaid sessions or payment on the day of intervention. No concession for speech therapy sessions.
10. Late coming policy: Parents are given a grace period of 15 minutes beyond which the sessions will be truncated. This is to ensure that parents who are punctual do not get affected.
11. Punctuality reinforcement: A token with a value of 10 min is given for parents who report 'On Time' for 5 consecutive sessions. These token can be accumulated to avail free sessions later.
12. Last Minute Cancellation should be avoided from both sides. Formally withdrawing previous meeting's decision on Last Minute Cancellation
13. Parents are requested to ensure that the home programme is followed.
14. Mr. Karthik will not conduct any sessions hereafter to ensure that the above mentioned promises are implemented.
15. Issue of receipts and reports will be regularized.
16. New equipments will be added in the forthcoming months.
The entire team of professionals were introduced to the parents.
